Receptionist/Project Administer

People are our strongest asset. We are looking for a Project Administrator to join our Denver office. The ideal candidate will be motivated, organized, and hard-working, have excellent oral and written communication skills, and be capable of working on multiple projects simultaneously.


Essential Functions:

  • Open and close the office: including start of day and end of day kitchen preparation (start coffee, clean up and start dishwasher)

  • Answer and transfer calls, greet and direct visitors

  • Receive the public and answers questions, in person and by telephone; respond to inquiries from employees, vendors and others and refer, when necessary, to the appropriate person or department.

  • Maintain office forms and procedures and assists with administrative tasks.

  • Operate listed office machines as required.

  • Prepare outgoing mail and courier envelopes and packages. Collect, sort, distribute, and processes incoming mail.

  • Duplicate and distributes materials.

  • Assist with filing documents; including books and publications for the library.

  • Compose and edit correspondence, reports, memoranda and other material.

  • Edit, format (consistent with PLUMMER technical standards), and finalize project-related documents

  • Create PowerPoint presentations based on input from others

  • Create Excel spreadsheets based on project needs as requested by others

  • Assist in entering data on permit applications utilizing Adobe Acrobat

  • Maintain inventory of office supplies; this includes ordering supplies as needed.

  • Interface with vendors

  • Submit office maintenance requests for repairs as needed

  • Prepare finalization of reports involving copying, binding. If necessary, outsource to vendors for larger copying jobs

  • Maintain filing system and archives project files for closed projects (if necessary). Process archived files to be sent to offsite-archive storage

  • Make travel arrangements for staff, as requested

  • Schedule and coordinate meetings and conference calls utilizing Outlook and Skype

  • Order lunch for in-house meetings as needed (Frontline, Table Talk, Lunch & Learn, Brown Bags, and Client Meetings)


Knowledge, Skills, and Abilities:

  • Software:  Microsoft Suite and Outlook

  • Customer Service skill set

  • Ability to multi-task

  • Detail oriented

  • Problem-solving skills

  • Able to work independently


Education & Experience:

  • High school diploma or GED equivalent required.

  • Associate degree in Business Administration or similar field preferred.

  • 3+ years of experience providing office support within a professional environment required.

  • Project Coordinator, technical writing, and/or engineering consulting industry experience preferred
