Executive Administrative Assistant - Plymouth, Michigan

We are looking for a talented Executive Administrative Assistant who will be responsible for providing high-level administrative support and diverse day-to-day tasks for the company shareholder/President, EVP, and CFO. This role needs to stay several steps ahead of the executives, allowing the executive team to focus in on, and excel at, the most important aspects of the business. This is done through anticipating upcoming needs, being knowledgeable in the latest technologies and resources, being assertive when required, embodying trust and professionalism and building strong working relationships with key personnel throughout the company. This position works in a fast-paced environment where individuals need to be able to work independently, learn quickly, and have a strong attention to detail. One will need to be comfortable handling multiple projects simultaneously while maintaining a high degree of confidentiality regarding documents and information.


Main Responsibilities Include (but are not limited to):

  • Perform administrative duties with a high degree of urgency, effectiveness, confidentiality & professionalism

  • Manage complex calendar and scheduling; supporting tasks as needed (both personally and professionally)

  • Planning complex domestic & international travel, including research, cost analysis, visa/passport support, creating itineraries, etc.

  • Manage email inbox and communicate on the Executives behalf, when necessary

  • Prepare  presentations, executive correspondence, memorandums, reports, special announcements and distribute to internal and external sources as appropriate

  • Provide critical proofreading and editing of documents, including review of legal docs

  • Perform special project assignments (from Marketing to HR to Operations) and effectively communicate with appropriate representatives from a variety of functions within the company to accomplish goals

  • May attend meetings and document pertinent action items for distribution to appropriate individuals; take minutes and distribute as appropriate

  • Coordinate and lead (as needed) staff meetings, team building events, trainings, seminars and company-wide events; includes organizing and coordinating logistics, room set-up, catering, taking minutes/notes and AV support

  • Research and obtain information for creation of routine and often moderately complex reports; compile and analyze data

  • Provide reports to company management and clients as required; make recommendations as appropriate for consideration and/or action

  • Tracking and summarizing department budget data, as well as ROI of specified investments

  • Submit purchase requisitions, track spending, approve and process invoices

  • Process and submit expense reports

  • Handle inquiries within bounds of authority, and direct to appropriate parties when answer is beyond authority given


  • 5+ years of experience in administrative support at the executive level, or equivalent

  • Bachelor degree in Business Administration or related field, or equivalent experience

  • Flexibility to work occasional evenings & weekends, as needed

  • Excellent communication skills: verbal, written, & interpersonal

  • Exceptional attention to detail & proofreading/grammar/editing skills

  • Willingness and assertiveness to hold personnel accountable to meet deadlines

  • Technologically savvy with affinity to learn and utilize new, advanced technologies

  • Positive demeanor and outlook; and receptive to feedback

  • Potential for occasional travel

  • Valid Driver's License and clean driving record

 Knowledge, Skills & Abilities:

  • Clerical  Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology

  • English Language  Strong knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar. Having proficiency in additional languages is valued highly, but not required.

  • Customer and Personal Service  Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction

  • Strong Proficiency in Microsoft Office Products  Ability to handle advanced functions and tools within Outlook, Word, Excel, and PowerPoint

  • Critical Thinking  Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems

  • Commitment to Excellence  Taking pride in your work and striving to deliver the best possible results. One will always be looking for opportunities to improve the way one works, generates ideas for streamlining processes, and thoroughly checks their work

  • Planning & Organization  The ability to effectively plan, organize, and prioritize ones workload to ensure deadlines and targets are reached timely and successfully



  • This position is located in an office and involves sedentary work. Exerting up to 20 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.
